Organize office and assist associates in ways that optimize procedures
Sort and distribute communications in a timely manner

Job requirements:

Minimum of 3 years of proven experience in back-office assistant, office assistant, virtual assistant, or in another relevant administrative role.
Knowledge of “back-office” computer systems (ERP software)
Working knowledge of office equipment
Thorough understanding of office management procedures
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills (English language, Arabic would be an advantage.)
Proficiency in MS Office
Provide general support to the Management Team including agenda setting, key decision making/informational items requested by the team, completion of standard reporting, tracking decisions, and ensuring all follow-up items are completed.
Assist in research, preparation, and written documentation for special projects, presentations, and meetings
Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
Screening phone calls and routing callers to the appropriate party.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Greet and assist visitors.
Maintain polite and professional communication via phone, Email
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Support the billing process
Receive and control invoices, maintain order and liaise with the accountant for proper entry of collections and payments.
