Job Purpose

To contribute to the day to day smooth functioning of the Senior Manager’s Office and department through the performance of various tasks including, but not restricted to handling departmental communication with Group HRD, Office Management, Employee administrative matters and making necessary travel arrangements.

Principal Accountabilities

Principal Accountabilities:

1.    Focal point of contact for the Senior Manager’s office and department for all communications.

2.    Maintain the Sr. Manager’s diary for efficient time management, schedules meetings, makes appointments and co-ordinates with other Managers / department secretaries to ensure smooth operation.

3.    Deals with incoming mails and actions as required, responds to routine correspondences from external parties for meeting requests, subscription, maintenance, trainings, etc..

4.    Receives telephone calls, records and relays messages.

5.    Receives / prepares /disburses departmental communications, letters, memos, faxes, e-mails.

6.    Prepares fairly complex reports / presentations / spreadsheets (often technical in nature) as requested.

7.    Prepares Agendas & Minutes of the meetings.

8.    Proof reading, formatting of financials and other control documents as and when required.

9.    Maintains detailed list of all incoming & outgoing correspondences for the Senior Manager.

10.    Organizes travel arrangement for the department Managers, flight bookings, hotel arrangements, airport transfers, entering request in the system, follow up for approvals, release of DOA.

11.    Attends to Business visitors/Consultants visiting Marketing department.

12.    Administrative / support services to the departments.

13.    Focal point for the EHS KPI related co-ordination for the department.

Experience

    • High School Graduate with a Secretarial Diploma
    • A minimum of 5 years experience as PA/Executive Secretary gained at a senior level or equivalent.
    • Sound knowledge of Microsoft Office Word, Excel &  Powerpoint as well as Internet, documents scanning and other system support functions.
    • Well developed communication skills, both oral and written, presentation skills.
    • High degree of confidentiality and time management skills essential.
    • Mature, calm and assertive personality in dealing with tight deadlines under pressure.
